Import your outstanding invoices
How PaidSoon brings your overdue invoices in from Stripe, Xero, MYOB Business, or a CSV file.
Once you've connected an invoice source, PaidSoon automatically imports your outstanding invoices so they can enter your reminder sequence.
Before you start
Connect at least one invoice source first:
- Connect PaidSoon to Xero
- Connect PaidSoon to MYOB Business
- Or connect Stripe directly via Settings → Connections
Steps
- After connecting a source, PaidSoon runs a first import automatically — you don't need to do anything.
- Go to Settings → Connections to check progress. Each connection card shows one of:
- Importing… — the first import is still running
- Active — the first import completed and invoices are syncing normally
- Sync error — the last import attempt failed
- To trigger an import manually at any time, click Sync now on the connection card (Retry sync if the connection is in an error state).
What you'll see
While an import is running, the connection card shows Importing…. Once it finishes, the card updates to Active and shows the timestamp of the last successful sync. A short history of recent sync runs (start time, invoices created/updated, and any error) is also shown on the card.
What happens next
Imported invoices appear in your dashboard's invoice table with a Pending status and become eligible for your configured reminder schedule. PaidSoon keeps re-syncing periodically after the first import to pick up new invoices and payment updates.
Invoice missing after import?
PaidSoon only imports invoices that match your source's overdue criteria at the time of sync. If an invoice becomes overdue after the last sync, it will appear on the next sync — click Sync now to check immediately rather than waiting.
Common problems
- Import seems stuck on "Importing…" — click Sync now to retry; large invoice histories can take longer on the very first import.
- "Sync error" keeps appearing — click Retry sync; if it persists, disconnect and reconnect the source (see the Xero or MYOB tutorials above).
